These guides help you prepare and evidence your position — certification itself is always granted by an accredited body, or for SSIP, a registered scheme, after their own assessment.

Prepares, never certifies

Start with the honest position

SafetyOps shows how ready you are and helps you close the gaps. It never says you are compliant or certified. ISO certification is granted only by a UKAS-accredited certification body after an audit; SSIP registration comes only from a scheme like CHAS or SafeContractor. PLAN — policy, scope and objectives

Every standard wants a signed policy, a defined scope, and measurable objectives. Adopt the Health and Safety Policy Statement and (for ISO 14001) the Environmental Policy from the Knowledge Library, fill in the Management System Scope Statement (what sites, activities and people it covers), and record measurable objectives in the Objectives and Targets Register. These are the clauses the readiness view marks 'your input required' — only you can write them.

PLAN — know your risks and your legal duties

Your risk assessments, COSHH and fire assessments already answer 'what could cause harm'. For ISO 14001, add an Environmental Aspects and Impacts Register — how your activities affect air, water, waste, land, resource use and nuisance, and which are significant (Environment Agency guidance; the waste hierarchy and duty of care under the Environmental Protection Act 1990). Keep a legal register and evaluate compliance with it at planned intervals (Evaluation of Legal Compliance Record).

DO — competent, aware and consulted people

Use Training, the Training Matrix and the Capability Gap Engine to show every worker is competent for their work and gaps are being closed. Use Toolbox Talks and Inductions to show awareness. Record worker consultation — ISO 45001 makes worker participation a clause in its own right, and HSE expects you to consult employees on matters that affect them.

DO — control the work

Show your controls target the source of the risk, using the hierarchy of controls. Safe Systems of Work, Permits to Work, Contractor Management, equipment inspection books and (for ISO 39001) your vehicle and driver records are the evidence. Manage change so health, safety and environmental impact are considered in decisions, not after them.

CHECK — monitor, inspect and audit

Active monitoring — planned inspections, the Compliance Calendar, and internal audits — confirms controls are working before something goes wrong. The Universal Inspection Engine and Audit History are your record. For ISO 14001, monitor your significant environmental aspects; the weather and air-quality feed is available where it's relevant.

CHECK — investigate and act on incidents

Report and investigate accidents, near misses and cases of ill health (Incidents & Near Misses), find the real cause, and raise corrective actions in the Action Centre. The 'Create action' button on any readiness gap does the same — it turns a missing clause into a tracked task.

ACT — leadership review and improvement

Every standard mandates a management review at planned intervals. Use the Management Review module and cover the standard inputs — audit and inspection results, incident and ill-health trends, progress against objectives, changes in legal requirements, worker feedback, and the status of previous actions. Act on what it shows: revise policy, risk assessments and arrangements where the review says they need it.

ISO 14001 — the one thing SafetyOps can't do for you

Your environmental aspects and impacts register is a judgement only you can make — which of your activities matter environmentally, and how significant each is. SafetyOps holds your permits, waste streams and depollution records and gives you the register template; a competent person completes and signs it. That done, ISO 14001 readiness moves from amber to green.

Print it for the auditor

When your certification body's assessor arrives — or a client runs a supply-chain audit — open the relevant Standards Readiness view or the Inspector Evidence Pack and print it. You hand over a structured, current picture of your position, generated from live data in a click, not a fortnight of gathering paper.
