Keep Appointed Persons, trained First Aiders, role requirements and certificate status connected to the employees and sites they apply to.
Overview
First Aid Management brings together everything a workplace records to keep its First Aid arrangements under control: a needs assessment and the arrangements chosen from it, Appointed Persons and trained First Aiders, First Aid Kits and AEDs, scheduled checks, and the actions and evidence that follow from them.
A manager records the workplace's own needs assessment, its chosen provision, and a review date it controls. SafetyOps never calculates the legally required number of First Aiders — it shows whether the arrangements already recorded are currently being met, company-wide or site by site.
SafetyOps doesn't provide or certify First Aid training. Your own course and certificate are what get recorded, matched to the Appointed Person or trained First Aider capability, and tracked for expiry the same way as any other required competence.
First Aid Kits and AEDs are real Equipment Register assets, not a separate list — checked through the same Universal Inspection Engine every other piece of equipment uses, with actionable issues identified through a completed check flowing into the same Action Centre as any other defect. SafetyOps doesn't certify or service an AED; it records what your organisation has checked, and when.
An employee's own workspace shows their own First Aid status where relevant, First Aid contacts for their site, and First Aid equipment recorded at their site — self-scoped, and never another employee's training history.
Why it matters
First Aid cover usually lives in three or four places at once — a training folder, a kit-check clipboard, a site plan and someone's memory of who's currently qualified. Bringing the needs assessment, people, equipment and checks onto one connected record is how a manager actually knows, site by site, whether the arrangements they've recorded are current and free of an open gap — not just whether they were the last time someone checked.

Benefits
Needs assessment, your call
Record what your workplace has assessed and chosen — SafetyOps never asserts a statutory headcount.
People, by site
Appointed Persons and trained First Aiders connected to the employees and sites they cover.
Kits & AEDs as real assets
First Aid equipment lives in the Equipment Register, not a separate spreadsheet.
Checks that reach the Action Centre
Where a completed First Aid Kit or AED check identifies an actionable defect, it can become a real, owned action, the same as any other equipment defect.
Workflow
- Record a First Aid needs assessment and the arrangements chosen from it — company-wide or for a specific site.
- Appoint an Appointed Person and record trained First Aiders, linked to the employees and sites they cover.
- Attach a First Aid requirement to a Job Role where relevant, alongside the training that satisfies it.
- Register First Aid Kits and AEDs in the Equipment Register, with their own site and location.
- Run First Aid Kit and AED checks through the same inspection workflow as any other equipment — an actionable issue identified through a completed check can raise a real Action Centre item.
- Set your own review date for the needs assessment; certificate expiry, review dates and check due dates all surface on the Compliance Calendar.

First Aid ↔ Incident Reporting
An incident can record whether First Aid was required and provided, and by whom — a factual operational record, never a medical one.

Frequently asked questions
What does First Aid management software help you manage?
Needs assessments and chosen arrangements, Appointed Persons and trained First Aiders, First Aid Kits and AEDs, scheduled checks, and the actions and evidence that follow — all connected to the same sites and employees.
Can SafetyOps track First Aider certificate expiry?
Yes — First Aid training records reuse the same Training & Competence module as every other certificate, with expiry tracked and surfaced the same way.
Can SafetyOps manage First Aid Kits and AEDs?
Yes — kits and AEDs are real Equipment Register assets, with their own site, location and check history.
Can SafetyOps schedule First Aid equipment checks?
Yes — First Aid Kit and AED checks run through the same Universal Inspection Engine as any other equipment, on a schedule your organisation configures. SafetyOps doesn't prescribe universal kit contents or a mandatory check interval.
Does SafetyOps decide how many First Aiders a workplace legally needs?
No — you record your own needs assessment and chosen arrangements. SafetyOps shows whether what you've recorded is currently being met; it never calculates a statutory headcount.
Can employees see First Aid information?
Yes — an employee's own workspace shows their own First Aid status where relevant, First Aid contacts for their site, and First Aid equipment recorded at their site.
Can First Aid information be linked to incidents?
Yes — an incident can record whether First Aid was required and provided, and by whom, as a factual operational record. SafetyOps doesn't store clinical or treatment detail as part of this.
